Privacy rules

COLLECTION, USE, AND DISCLOSURE OF PERSONAL INFORMATION

 

In this Policy, "Personal Information"" (a/k/a "Personal Data") means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with you. Personal Information does not include information that is publicly available as defined by applicable privacy legislation or is anonymized.

 

The Privacy Rules on Personal Data Protection is an integral part of the Terms of Use.

We collect Personal Information directly from you that you voluntarily share with us through the Services, indirectly from you through technology (e.g., your activity on the Services), and from Cleanie and Cleanie Cleaner users and business partners.

As an advertising service, helping Cleanie app users find Cleanie Cleaner app cleaning service providers for home or office, we naturally need to collect personally identifiable information (information which can be traced to you). Personally identifiable information is only collected when you place a cleaning order as a Cleanie user, or use create an account to provide cleaning services as a Cleanie Cleaner user.

The data processed must be true and complete, as well as based on a reliable source, that is, a source that is not out of date.

The company processes the necessary data of persons who have given their consent for processing, for a clearly defined purpose, in a manner permitted by law, so that the person whose data is processed is not specified or determinable even after the purpose of the processing has been achieved, and in proportion to the purpose of the processing .

Regulations

Before collecting data, the Company, as the Data Controller, informs the person to whom the data relates about the following:

  1. That the Personal Data Controller, i.e. the person responsible for data collection, is the Company;

  2. That the purpose of collecting and processing data is to enable the provision of information society services, the security of Cleanie app and Cleanie cleaner app users and to enable the creation and posting of content in accordance with the law;

  3. That the collected data is used in a way that enables the identification of persons, users, and in accordance with good business practices, keeping business secrets and the law;

  4. That the persons who use the data are the persons who are employed by the Company, who have the authority to use the data, and the persons with whom the user enters into an obligation relationship to the extent necessary for the realization of that relationship, as well as all State authorities who, based on the law and /or court decisions exercise the right to use data;

  5. That the provision of personal data is voluntary, and that no one who does not want to be a registered user of the Cleanie or Cleanie Cleaner is obliged to leave any data, but that leaving data is mandatory in terms of the Law on Obligations and the Law on Electronic Commerce, in order to exercise the rights from the aforementioned laws;

  6. That the person who has given his consent to the collection and processing of data can at any time and without explanation withdraw his consent, which as a legal consequence produces the termination of the possibility of using the service, the maturity of all outstanding obligations incurred during the use of the servicel, as well as the termination of any further collection of data from persons who have withdrawn their consent;

  7. That in the event of unauthorized data processing, individuals have the right to protection of personal data, as well as other rights that belong to them by law.

 

Data we collect & process

  • Full name

  • Contact details (email address, phone number)

  • User account information (country of birth, languages, date of birth, bio)

  • Passport or ID number (if you are Cleanie Cleaner user who wishes to be advertised on the Cleanie Platform, and you are selected for a background check)

  • Passport or ID photo (if you are Cleanie Cleaner user who wishes to be advertised on the Cleanie Platform, and you are selected for a background check)

  • Photo with passport or ID (if you are Cleanie Cleaner user who wishes to be advertised on the Cleanie Platform, and you are selected for a background check)

  • Criminal charges certificate (if you are Cleanie Cleaner user who wishes to be advertised on the Cleanie Platform, and you are selected for a background check)

  • Customer records

  • Device identifier

  • Geolocation of the customer, to pick up order location

Purpose of the process

 

We collect and process personal data for the purpose of advertising Cleanie Cleaner App users to Cleanie App users to help them manage errands more efficiently.

We display picked address geolocation data of Cleanie customers to Cleanie Cleaner service providers to enable service providers to get to location efficiently. Geolocation data is collected only when the Cleanie Cleaner app is looking for an address. The collection of geolocation data stops after closing the Cleanie Cleaner app.

We may use geolocation data to resolve quality issues related to address.

We use contact details to notify users of updates to the Cleanie app and Cleanie Cleaner app.

Your name, phone number and email will be used to communicate with you.

Customer support data is collected on a case-by-case basis and stored for the purpose of resolving disputes and service quality issues.

For payment purposes, we use the services of a third party Stripe LTD. Data security when paying for booking is ensured by Stripe LTD and the entire payment process is carried out through Stripe LTD SDK service. Payment card information is not collected or stored at Cleanie services at any moment.

 

Stripe is a certified PCI Service Provider Level 1. This is the most stringent level of certification available in the payments industry. To accomplish this, Stripe uses the best-in-class security tools and practices to maintain a high level of security.

 

All card numbers are encrypted at rest with AES-256. Decryption keys are stored on separate machines. None of Stripe’s internal servers and daemons can obtain plain text card numbers but can request that cards are sent to a service provider on a static allowlist. Stripe’s infrastructure for storing, decrypting, and transmitting card numbers runs in a separate hosting environment, and doesn’t share any credentials with Stripe’s primary services including our API and website.

 

Legal Basis

 

Personal data is processed in order to provide the service contracted with customers. We collect and process the personal data submitted by the customers in the course of installation and use of the Cleanie app and Cleanie Cleaner app. The prerequisite for the use of Cleanie app and Cleanie Cleaner app services is customer’s agreeing to the processing of identification data.

Personal data may be also processed on legitimate interest grounds, for example in investigating and detecting fraudulent payments.

Recipients

The personal data of a Cleanie app customer is only disclosed to the Cleanie Cleaner app service provider who has activated the Cleanie Cleaner app and who has been chosen by the customer ; in such case, the service provider will see the name, address data of the order and order details.

Part of personal data of the Cleanie Cleaner app service provider is disclosed to all Cleanie app users during the order creation. Users will see name, country of birth, spoken languages, profile photo, bio and city of operation.

After providing the cleaning service, the name of the Cleanie app customer will remain visible to the Cleanie Cleaner app service provider. This is necessary for service providers & customers to resolve any issues associated with service provision.

“Review” Feedback given by Cleanie app customers regarding the quality of the Cleanie Cleaner app service providers is anonymous and Cleanie Cleaner app service providers do not receive names of customers who provided rating and feedback.

Depending on the location of the customer, the personal data may be disclosed to the Cleanie group companies and partners (local subsidiaries, representatives, affiliates, agents etc). Processing of personal data by Cleanie group companies and partners will occur under the same conditions as established in this privacy notice.

Where is your information stored?

Your information is primarily stored in the Google Firebase database. In addition to our proprietary marketplace software, your data may be stored on Google Drive (e.g. invoices for cleaning service) and Google Apps for business (e.g. Gmail, Google Spreadsheets).

Any personal data collected in the course of providing the services is transferred to and stored in the data centres of Google Firebase Storage., which are located in the territories of Member States of the European Union. Only authorised employees of Cleanie and partners have access to the personal data and they may access the data only for the purpose of resolving issues associated with the use of the services (including disputes regarding Cleanie Cleaner app service providers services).

For research and scientific purposes, the data is used in unidentified form (anonymized)

 

How long is it stored?

 

Your personal data will be stored as long as you have an active customer account. If your account is closed, personal data will be deleted (according to the policies set out in this section) from the databases, unless such data is required to be retained for accounting, dispute resolution or fraud prevention purposes.

Financial data regarding services provided to customers will be stored for 3 years after the last order.

Data required for accounting purposes will be stored for 7 years [after the last order].

In the event that there are suspicions of a criminal offense, fraud or false information having been provided, the data will be stored for 10 years.

In case of payment disputes, data will be retained until the claim is satisfied or the expiry date of such claims.

Order history data will be stored for 3 years, after which the data will be anonymized.

Please note that the deinstallation of Cleanie app or Cleanie Cleaner app in your device does not cause the deletion of your personal data.

If the Cleanie app or Cleanie Cleaner app has not been used for 3 years, we will notify you and ask you to confirm whether the account is still active. If no reply is received, the account will be closed and personal data will be deleted unless such data is required to be stored for accounting, dispute resolution or fraud prevention purposes.

 

Accessing you data

You can access and update your personal data yourself via the Cleanie app (for customers) or Cleanie Cleaner app (for service providers).

Otherwise If you wish to access any of your data, please send us an email with such request to support@cleanie.io, specifying the scope of information you wish to receive, the preferred format (e.g. .csv, .odf, etc.), and email address where the information should be sent to.

Deleting your data

You can delete your personal data yourself via the Cleanie app (for customers) or Cleanie Cleaner app (for service providers).

Also your personally identifiable information can always be deleted at your request, except in cases where we are required to store such information for accounting purposes, or ‘know your customer’ regulations relevant to financial transactions. If you request us to delete the information, which we are legally required to keep for a certain period of time, such information will be deleted as soon as we are legally able to do so.

In order to request the deletion of your data, please send us an email with such request to support@cleanie.io. All of your personally identifiable information will be replaced with either hashed or meaningless data (e.g. instead of your real name, the record will be replaced with DELETED_CUSTOMER, your email address with customer_12345@example.com).

 

You should also bear in mind that any request to delete your personal data is possible only if we delete your account. As a result of that you will not be able to use the Cleanie app or Cleanie Cleaner app via an account which has been deleted.

We respond to any request to delete personal data submitted by email within a month and will specify the period of data deletion.

Direct marketing

We will only use your e-mail address and/ or phone number to send direct marketing messages if you have given us permission to do so via the Cleanie app. We may personalize direct marketing messages using the information on how you use Cleanie services (frequency of use, orders).

If you no longer wish to receive direct marketing messages, please click the “Unsubscribe” link in the footer of our email or in the profile section of the Cleanie app.

Dispute resolution

Disputes relating to the processing of personal data are resolved through customer support (support@cleanie.io.).
